TOUR SALES CONTRACT
BETWEEN AREN TRAVEL TOURISM AND TOUR PARTICIPANT “CUSTOMER”
PACKAGE TOUR (TRAVEL) AGREEMENT (DOMESTIC)
This Agreement is prepared for domestic tours and constitutes a whole together with the attached tour program.
01 – PARTIES AND SUBJECT
This sales agreement is concluded between the travel agency “Aren Travel Tourism” organizing the trip and the “Customer” wishing to participate in the tour regarding a Domestic Trip, and it is an integral part of the attached tour program. In this Agreement, Aren Travel Tourism shall be referred to as the “Agency”, and the tour participant as “Customer”.
02 – FINAL REGISTRATION AND CANCELLATION CONDITIONS
Final registration for tours is made upon payment of at least 40% of the tour fee. If the remaining portion of the tour fee is not paid 30 days before the tour departure date, the customer is deemed to have withdrawn from the tour, and the cancellation conditions apply.
- Cancellations made by the customer 45 days or more before the tour departure date will receive a full refund of the tour fee (excluding reserved-name tickets).
- Cancellations 44–30 days before departure will incur a 10% fee of the tour cost.
- Cancellations 29–15 days before departure will incur a 50% fee.
- Cancellations 14–7 days before departure will incur an 80% fee.
- Cancellations 7 days or less before departure will incur a 100% fee.
- No refund is provided in cases of no-show, missing the tour bus or flight, voluntary or involuntary discontinuation of the tour after its start. In addition to cancellation fees, mandatory expenses incurred by Aren Travel Tourism on behalf of the customer (insurance, flight tickets, hotel, etc.) will be charged separately.
03 – GROUP TOURS
Group tours require a sufficient number of participants. If the number is insufficient, Aren Travel Tourism may cancel the tour without the customer’s consent or carry it out through another agency.
If the tour cannot proceed due to insufficient participation, the paid fee will be refunded in full. Alternatively, if the per-person cost increases due to low participation, Aren Travel Tourism may request the difference from other participants with their approval to proceed with the tour.
04 – LUGGAGE
- For all domestic and international tours by bus, each guest is entitled to one suitcase (50×70 cm) and one hand bag (20×50 cm). Excess luggage is accepted if bus capacity allows; otherwise, it will not be accepted.
- For tours by plane, excess luggage fees are the responsibility of the passenger, as determined by the airline.
- Aren Travel Tourism is not responsible for luggage not handed over to the Agency staff on bus tours. Compensation for lost luggage is covered within the insurance.
- Luggage should not contain money, valuable documents, or jewelry.
- Aren Travel Tourism is not responsible for lost luggage on flights; airline rules apply in such cases.
05 – FORCE MAJEURE AND RESPONSIBILITIES
- Aren Travel Tourism is not responsible for political events, strikes, disasters, wars, weather conditions, technical faults, or changes in interstate relations occurring before or during the tour.
- Aren Travel Tourism reserves the right to make changes in the tour program, fees, transportation vehicles, and accommodation facilities. The agency acts as an intermediary between transport/accommodation providers and customers.
- Aren Travel Tourism is not responsible for accidents, health issues, luggage theft, or damages occurring due to reasons unrelated to the agency during transportation or accommodation.
- Solo travelers must pay a single-room supplement. If there is a second solo traveler, both may share a room with mutual consent, and the agency is not responsible for disputes between them.
- Aren Travel Tourism is not responsible for flight schedule changes or airline timetable updates.
- The agency reserves the right to make necessary changes to the tour sequence, meal locations, or accommodations while remaining faithful to the original program.
06 – SERVICES INCLUDED AND OTHER EXCEPTIONS
- All services included in the tour are specified in the program; any others are extra.
- Airlines may charge extra fuel surcharges based on global oil prices, even after tickets are issued, and Aren Travel Tourism is not responsible for these fees. The differences will be reflected in the tour price.
- Prices include VAT.
- Check-in at hotels is 15:00 regardless of arrival time; check-out is 11:00.
- Meals consumed en route by bus are paid by participants.
- The agency is not responsible for damage, loss, or harm to customers during the tour.
07 – TOUR START AND DEPARTURE TIMES
The departure points for bus tours are stated in the program; for flights, it is the relevant airline counter.
- Customers must confirm departure points and times with the agency within the week before the tour. Failure to meet may result in customer responsibility.
- Timetables are valid as of the printed program; subsequent changes by carriers are not the agency’s responsibility.
- Customers are responsible for checking transportation schedules before the tour, although the agency provides details.
08 – INSURANCE
All tours with accommodation are insured.
- Insurance rules apply for health issues during the tour. The agency is not responsible for undisclosed chronic illnesses or allergies.
- Customers must provide medical documentation (diagnosis, prescriptions, reports) to the insurance company.
- Payments are made by participants, and invoices are sent to the insurance company for reimbursement.
- The insurance company decides on payment after evaluation.
- The agency assists with the process but does not guarantee payment. The insurance company is solely responsible.
09 – JURISDICTION
The agency assumes the information provided at registration is accurate. The agency is not responsible for any issues due to false or incomplete declarations.
In case of disputes, Izmir Courts and Enforcement Offices have jurisdiction.
All clauses above have been read and signed by the customer.

- All services included in the tour are specified in the program; any others are extra.
- Participation in extra tours requires sufficient numbers of attendees.
- International tourists must pay any taxes, fees, charges, or surcharges required by the destination country, as well as any increases in flight, hotel, or tour costs before departure.
- Group flight tickets are purchased before the tour date.
- Airlines may charge extra fuel surcharges even after tickets are issued, and Aren Travel Tourism is not responsible. Price differences are reflected in the tour price.
- Prices include VAT.
08 – PASSPORT AND VISA
- Passports must be valid for at least one year from the tour end date.
- Turkish passport holders requiring visas must submit the required documents and photos to the agency 45 working days before departure.
- The agency is not responsible for delays caused by late submission.
- The agency assists with visa applications, but visa fees are the responsibility of the customer.
- The agency is not responsible if the consulate refuses the visa. Non-refundable visa fees and mandatory pre-paid tour expenses (e.g., flights, reservations) are charged to the customer.
- Any visa fee increases before departure are charged to the customer.
09 – TOUR START AND DEPARTURE TIMES

Final registration for tours is made upon payment of at least 40% of the tour fee. If the remaining portion of the tour fee is not paid 45 days before the tour departure date, the customer is deemed to have withdrawn from the tour, and the cancellation conditions in Article 3 apply.
03 – CANCELLATION CONDITIONS
- Cancellations made 46 days or more before the tour departure date will receive a full refund of the tour fee (excluding international tickets).
- Cancellations 45–30 days before departure will incur a 50% fee of the tour cost (excluding tickets).
- Cancellations 29–20 days before departure will incur an 80% fee (excluding tickets).
- Cancellations made with less than 20 days before departure will incur a 100% fee.
- Ticket fees are charged in full for all trips canceled with less than 46 days before departure.
- Cancellations due to health reasons follow the travel insurance rules.
- No refunds are provided for no-shows, missing the tour bus or flight, or voluntary/involuntary discontinuation of the tour after it starts.
- In addition to cancellation fees, mandatory expenses incurred by Aren Travel Tourism on behalf of the customer (insurance, etc.) will be charged separately.
04 – GROUP TOURS
Group tours require a sufficient number of participants. If the number is insufficient, Aren Travel Tourism may cancel the tour without the customer’s consent or conduct it through another agency.
If the tour cannot proceed due to insufficient participation, the paid fee will be refunded in full. Alternatively, if the per-person cost increases due to low participation, Aren Travel Tourism may request the difference from other participants with their approval to proceed with the tour.
05 – LUGGAGE
- For all domestic and international tours by bus, each guest is entitled to one suitcase (50×70 cm) and one hand bag (20×50 cm). Excess luggage is accepted if bus capacity allows; otherwise, it will not be accepted.
- For tours by plane, excess luggage fees are the responsibility of the passenger, as determined by the airline.
- Aren Travel Tourism is not responsible for luggage not handed over to the Agency staff on bus tours. Compensation for lost luggage is covered within the insurance.
- Luggage should not contain money, valuable documents, or jewelry.
- Aren Travel Tourism is not responsible for lost luggage on flights; airline rules apply in such cases.
- For insurance claims, legal forms must be completed and signed in the destination country.
06 – FORCE MAJEURE AND RESPONSIBILITIES
- Aren Travel Tourism is not responsible for political events, strikes, disasters, wars, weather conditions, technical faults, or changes in interstate relations occurring before or during the tour.
- Aren Travel Tourism reserves the right to make changes in the tour program, fees, transportation vehicles, and accommodation facilities. The agency acts as an intermediary between transport/accommodation providers and customers.
- Aren Travel Tourism is not responsible for accidents, health issues, luggage theft, or damages occurring due to reasons unrelated to the agency during transportation or accommodation.
- Solo travelers must pay a single-room supplement. If there is a second solo traveler, both may share a room with mutual consent, and the agency is not responsible for disputes between them.
- Aren Travel Tourism is not responsible for flight schedule changes or airline timetable updates.
- The agency may make necessary changes to the tour sequence, meal locations, or accommodations while remaining faithful to the original program. Customers bear costs arising from force majeure, e.g., canceled ferries or delayed ships, fires, road closures, or other extraordinary circumstances. Such events are not covered by insurance.
07 – SERVICES INCLUDED AND EXCEPTIONS
- All services included in the tour are specified in the program; any others are extra.
- Participation in extra tours requires sufficient numbers of attendees.
- International tourists must pay any taxes, fees, charges, or surcharges required by the destination country, as well as any increases in flight, hotel, or tour costs before departure.
- Group flight tickets are purchased before the tour date.
- Airlines may charge extra fuel surcharges even after tickets are issued, and Aren Travel Tourism is not responsible. Price differences are reflected in the tour price.
- Prices include VAT.
08 – PASSPORT AND VISA
- Passports must be valid for at least one year from the tour end date.
- Turkish passport holders requiring visas must submit the required documents and photos to the agency 45 working days before departure.
- The agency is not responsible for delays caused by late submission.
- The agency assists with visa applications, but visa fees are the responsibility of the customer.
- The agency is not responsible if the consulate refuses the visa. Non-refundable visa fees and mandatory pre-paid tour expenses (e.g., flights, reservations) are charged to the customer.
- Any visa fee increases before departure are charged to the customer.
09 – TOUR START AND DEPARTURE TIMES
- Departure points for bus tours are stated in the program; for flights, it is the airline counter (domestic or international).
- Customers must confirm departure points and times with the agency within the week before the tour.
- Customers are responsible for delays or missed departures.
- Flight, ferry, train, and bus schedules are valid as of the printed program. Subsequent changes by carriers are not the agency’s responsibility.
- Customers must check all transportation details with the agency before departure.
10 – OTHER TERMS
- Hotel check-in is 15:00 local time, check-out is 11:00 local time.
- Meals en route are paid by participants.
- Children aged 2–10 may receive discounts if sharing a room with parents as the 3rd or 4th occupant.
- Aren Travel Tourism is not responsible for any damage, loss, or harm to customers during the tour.
- Food, drinks, and extra tours outside the program are paid by the customer.
- Extra tours outside the program are not included in the tour fee.
12 – INSURANCE
- Insurance rules apply for health issues during the tour.
- Chronic illnesses and allergies are not covered, and the agency is not responsible if information is withheld.
- Customers must provide accurate medical information at registration.
- Customers must provide medical documentation (diagnosis, prescriptions, reports) to the insurance company.
- Payments are made by participants; invoices are sent to the insurance company for reimbursement.
- The insurance company decides on payment after evaluation.
- The agency assists in the process but does not guarantee payment. The insurance company is solely responsible.
13 – JURISDICTION
This agreement consists of 13 main articles. In case of disputes, Izmir Courts and Enforcement Offices have jurisdiction.
All clauses have been read and signed by the customer.
